posting this because i literally cannot believe how much time this saved us
we hire about 3-4 people a month and the onboarding used to be a nightmare of paperwork, emails, and people forgetting steps. someone would get their laptop but no one set up their email. or theyd get email access but no one added them to the right slack channels
heres what we built:
hiring manager fills out a "new hire" form with: name, role, department, start date, manager, equipment needs
workflow runs:
- creates employee record in our people table
- sends welcome email to the new hire with first day info
- sends IT a request to set up accounts (email, slack, tools)
- schedules a reminder workflow for 3 days before start date to verify everything is ready
- on start date: sends the manager a "first day checklist" email
- day 3: sends the new hire a check-in survey form
the whole thing runs itself. we went from someone spending 2 full days coordinating via email to literally just filling out one form
if youre in HR or people ops and still doing this manually... please stop. build this. it took us like 3 days and its been flawless for 2 months
so happy with this setup. cannot stress enough how much time it saves. our HR team of 2 was drowning before this
the day-3 check-in survey is a nice touch. we should add that to ours. do you also do anything at 30/60/90 days?
not yet but thats a great idea. going to add 30 and 90 day check-in surveys. the workflow already has the start date so scheduling those would be easy
this is incredible. we just started hiring and were doing everything via email chains. showing this to my manager tomorrow
how do you handle the IT account setup part? is that automated too or does IT still manually create the accounts?
